This privacy policy applies between you, the Supplier and User of this website, and Orientations Exhibition and Conference Organiser LLC, The One Tower, 24th Floor, Office 35, Sheikh Zayed Rd, Barsha Heights, Dubai, UAE (hereinafter referred to as “OE” or “orientations.events”), the owner and provider of this Website. OE takes the privacy of your information very seriously. This privacy policy applies to our use of any and all Data collected by us or provided by you in relation to your use of the Website and/ or as a user of our products or services. Please read this Data Protection and Privacy Policy (DPPP) carefully.

Supplier    

Any company, organisation or individual seeking to do or actively doing business with OE by providing goods or services to OE and any company, organization or individual submitting the OE Supplier Registration Form.

User    

The company, organisation or individual using this website seeking to do or actively doing business with OE by providing goods or services to OE not either (i) employed by orientations.events and acting in the course of their employment or (ii) engaged as a consultant or otherwise providing services to orientations.events and accessing the Website in connection with the provision of such services.

OE Supplier Portal 

the digital supplier management portal developed by orientations.events based on the Zoho One framework (also referred to as “Supplier Portal”)

Data

Collectively all information that you submit to OE via 
the Website. This definition incorporates, where applicable, the definitions provided in the relevant Data Protection Laws.

Cookies

Small text file placed on your computer by this Website when you 
visit certain parts of the Website and/or when you use certain features of the Website. Details of the cookies used by this Website are set out in the clause below (Cookies).

Any applicable law relating to the processing of personal Data, 
including but not limited to the data protection laws of the UAE, and any national implementing and supplementary laws, regulations, and secondary legislation.

1.    Scope of the DPPP
a)    This privacy policy applies only to the actions of orientations.events and Users with respect to this Website. It does not extend to any websites that can be accessed from this Website including, but not limited to, any links OE may provide to social media websites.
b)    For purposes of the applicable Data Protection Laws, OE is the "data controller". This means that orientations.events determines the purposes for which and the manner in which your Data is processed.
c)    Your Data is only processed in the manner set out in this DPPP if you have specifically consented to us doing so, in a manner required by the Data Protection Law. Consent is not required if the processing is necessary to protect the public interest or for the execution of legal procedures or rights or if the Data has been made publicly available by yourself. Where the collection of Data is required by law or under the terms of the contract between you and OE and you fail to provide the required Data, the performance of the contract may be rendered impossible.

3.    How OE collects data
a)    We collect Data in the following ways:
i.    data is given to OE by you; 
ii.    data is collected automatically; and
iii.    data that is given to OE by third parties, e.g. business partners, subcontractors etc.

b)    Orientations.events will collect your Data in a number of ways, for example:
i.    when you contact OE through the Website, by telephone, post, e-mail or through any other means;
ii.    when you register with OE and set up an account to receive our products/services, or to register as a Supplier;
iii.    when you complete surveys that OE uses for research purposes (although you are not obliged to respond to them);
iv.    when you elect to receive marketing communications from OE;
v.    when you use OE services; 
in each case in accordance with this privacy policy.

c)    To the extent that you access the Website, we will collect your Data automatically, for example:
i.    OE automatically collect some information about your visit to this Website. This information helps us to make improvements to Website content and navigation and includes your IP address, the date, times, and frequency with which you access the Website, and the way you use and interact with its content.
ii.    OE will collect your Data automatically via cookies, in line with the cookie settings on your browser. For more information about cookies, and how OE uses them on the Website, see the section below, headed Cookies.

4.    Our use of Data
a)    Any or all of the above Data may be required by OE from time to time in order to provide you with the best possible service and experience when using this Website. Specifically, Data may be used by OE for the following reasons:
i.    activities evolving around the current business activities with you;
ii.    internal record keeping;
iii.    future business interests and collaboration;
iv.    transmission by email of marketing materials that may be of interest to you;
v.    for the defence of legal claims
vi.    if legally necessary; in each case, in accordance with this privacy policy.

b)    OE may use your Data for the above purposes if we deem it necessary to do so for our legitimate interests. We will only process your Data after having been given your consent, if this is required by law. However, if legally permissible we may process your Data without your knowledge or consent Legitimate interests might include 
i.    to be able to provide you with relevant content, 
ii.    to process and respond to your requests, 
iii.    to register you as a Supplier or User, 
iv.    to ask you to leave a review, 
v.    to notify you about changes to our terms or Privacy Policy, 
vi.    to protect our business and the Website and 
vii.    to improve the Website and our services, etc.. 
The list above is not exhaustive and the processing of your Data can also be carried out for any other legally permissible reasons in accordance with the Data protection laws. If your Data is processed for any reason other than one of the above-mentioned reasons, you will be notified on the grounds of this usage. If you are not satisfied with the processing for the above-mentioned interests, you have the right to object under the  circumstances mentioned in the section headed "Your rights" below.

c)    For the delivery of direct marketing to you via e-mail, OE needs your consent, whether via an opt-in or soft-opt-in:
i.    soft opt-in consent is a specific type of consent that applies when you have previously engaged with OE (for example, you contact us to ask OE for more details about a particular product/service, and we are marketing similar products/services, or you registered with OE as a Supplier). Under "soft opt-in" consent, OE will take your consent as given unless you opt out.
ii.    for other types of e-marketing, OE is required to obtain your explicit consent; that is, you need to take positive and affirmative action when consenting by, for example, checking a tick box that OE will provide.
iii.    if you are not satisfied with our approach to marketing, you have the right to withdraw consent at any time. To find out how to withdraw your consent, see the section headed "Your rights" below.

5.    Who OE shares data with
a)    OE may share your Data with OE employees, agents and/or professional advisors - to process your space booking requests and bookings; in each case, in accordance with this privacy policy. Any third party only processes your personal data on our instructions and is subject to a duty of confidentiality.

b)    OE will ask for your express opt-in consent before your Data is shared with any third party for marketing purposes.

c)    The User and Supplier confirms and expressly consents that OE may disclose his Data if required by law or if the disclosure is necessary to protect the rights of OE, also to competent police or judicial authorities, if deemed necessary or useful.

6.    Keeping your data secure
a)    OE will use technical and organisational measures to safeguard your Data, for example:
i.    access to your account is controlled by a password and a username that is unique to you.
ii.    OE stores your Data on secure servers.

7.    Data Retention
a)    Unless a longer retention period is required or permitted by law, OE will only hold your Data on our systems for the period necessary to fulfill the purposes outlined in this privacy policy or until you request that the Data be deleted. The necessary retention period is evaluated by taking into account the amount and sensitivity of the Data, the potential risk of harm from unauthorized use, the purposes that the data retention is supposed to serve and applicable legal requirements.

b)    Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes.

a)    You have the following rights in relation to your Data:
i.    Right to access - the right to request (i) copies of the information OE holds about you at any time, or (ii) that OE modifies, updates or deletes such information. The right to obtain information includes information regarding the types of personal data that we have processed, the purpose of processing this data, any decisions based on automated processing, the procedures and security standards concerning the retention, correction or deletion of your Data. If OE provides you with access to the information we hold about you, OE will not charge you for this, unless your request is "manifestly unfounded or excessive." Where OE is legally permitted to do so, we may refuse your request. If we refuse your request, we will tell you the reasons why.
ii.    Right to correct - the right to have your Data rectified if it is inaccurate or incomplete.
iii.    Right to erase - the right to request that we delete or remove your Data from our systems when it is no longer necessary for the purposes for which it was processed or by withdrawing consent regarding processing that requires consent or when the Data has been unlawfully processed.
iv.    Right to restrict our use of your Data – the right to “block” OE from using your Data or limit the way in which we can use it under certain circumstances. These circumstances include the alleged inaccuracy of the Data, the violation of the purposes of data processing agreed upon and data processing in violation of the provisions of the applicable Data Protection Laws.
v.    Right to data portability - the right to request that we move, copy or transfer your Data. 
vi.    Right to object - the right to object to our use of your Data including where OE uses it for our legitimate interests in the context of direct marketing purposes, voluntary surveys and automated processing that entails legal consequences or other serious effects. With regards to automated decision making, you have the right to obtain human intervention to review the decisions made.

10.    Changes of business ownership and control
a)    OE may expand or reduce our business and this may involve the sale and/or the transfer of control of all or part of orientations.events. Data provided by Users will, where it is relevant to any part of our business so transferred, be transferred along with that part and the new owner or newly controlling party will, under the terms of this privacy policy, be permitted to use the Data for the purposes for which it was originally supplied to OE.

b)    OE may also disclose Data to a prospective purchaser of our business or any part of it.

c)    In the above instances, OE will take steps with the aim of ensuring your privacy is protected in accordance with the Data Protection Laws applicable.

12.    General
a)    You may not transfer any of your rights under this privacy policy to any other person. OE may transfer our rights under this privacy policy where OE reasonably believes your rights will not be affected.

b)    If any court or competent authority finds that any provision of this privacy policy (or part of any provision) is invalid, illegal, or unenforceable, that provision or part-provision will, to the extent required, be deemed to be deleted, and the validity and enforceability of the other provisions of this privacy policy will not be affected.

c)    Unless otherwise agreed, no delay, act, or omission by a party in exercising any right or remedy will be deemed a waiver of that, or any other, right or remedy.

d)    This DPPP will be governed by and interpreted according to the laws of the UAE. All disputes arising under the Agreement will be subject to the exclusive jurisdiction of the relevant competent courts.

a)    OE reserves the right to change this privacy policy as we may deem necessary from time to time or as may be required by law. Any changes will be immediately posted on this Website and you are deemed to have accepted the terms of the privacy policy on your first use of the Website following the alterations.
